SETTING UP EMAIL

  1. First, make sure you can view the outline for this Google Doc Look at the above Google Doc toolbar, go to View → click on “Show document outline”

  2. LOGIN: Log into your Icahn School of Medicine at Mount Sinai Gmail account

  3. SWITCH GMAIL ACCOUNTS Look up at the upper right-hand corner of the page (near where you would look for “Settings”) Click the ISMMS logo (red arrows → are pointing to this in the picture below)

  4. An account menu will pop up. Click on “Access to Care Team: access.hrp@icahn.mssm.edu” . You will see “Delegated” in gray italics next to the account name to indicate a delegated Gmail account. This just means that Dr. Singer needed to email ASCIT to get you added to our account and you should feel very special :) Example account menu with the proper email address boxed in red below

  5. Hooray! You are now in the ACCESS email account. Send all emails related to your clients/cases from this email account Feel free to CC your personal Sinai account if you’re worried about missing any emails; this isn’t necessary, though, but could be a good idea if you’re wrapping up a case (a “Reply All” will lead this to pop up in your personal Inbox) If you have emails in your personal account, forward them to access.hrp@icahn.mssm.edu , create case-specific sublabels, and drag your forwarded emails into the sublabels CHECK THE ACCESS EMAIL ACCOUNT REGULARLY when you have an in-progress case

  6. MAIN LABEL SET-UP: Scroll down on the left side (under Compose, Inbox, Sent, etc.) to see your name attached to a gray label (looks like a smaller version of ) Hover your mouse over your name; you will see three vertical dots appear on the right (looks like ⋮ ) Click on the three vertical dots Change your label color to whichever color you would like This is your label! Drag any and all emails that are affiliated with your clients/cases in Inbox, Draft, and Sent to your label or directly to the case sublabel (more on that next!)

  7. TO ADD A SUBLABEL: Sublabels are really useful for keeping track of which emails pertain to which client/case, especially if you have multiple clients (which everyone will)

  8. To add a sublabel: Hover your mouse over your main label AKA your name (which should by now be the color of your choice) Click on the three vertical dots that appear on the right ⋮

  9. Click on “Add sublabel”

  10. Enter the new sublabel name We recommend “Case Number - Client’s Initials” and then a note on whether this case “open” or “complete” ex) #123 - ABC (open) ex) 123.AC (complete)

  11. Keep this sublabel updated throughout (such as when your case changes from in progress to complete) Click on the three vertical dots ⋮ next to the sublabel to change the sublabel color and/or select “Edit” to edit the name Click the arrow ▶ to the left of your main label (AKA your name) to Show/Hide sublabels If you choose, change the sublabel color to match your main label color (click on the vertical three dots ⋮ next to the sublabel) Result = gorgeous!
